We pride ourselves on our honesty and openness and will always be clear how, when and why we collect and process your information; we promise we will never do anything with your details that you wouldn’t reasonably expect.
This privacy statement explains how this Rotary Club will use any personal information we collect about you for the above event/competition (delete as applicable), received both online and offline, as well as any electronic, written or oral communication.
WHAT INFORMATION DO WE COLLECT?
We collect information about you when you make application or purchase. The information we collect about you can include your name, address, email address, phone number, date of birth (if relevant) any pertinent medical information and contact information for next of kin if relevant
HOW DO WE USE THE INFORMATION ABOUT YOU?
We collect information about you to ensure the smooth running of the event and for welfare reasons as necessary.
This may include creating a record in your name on our event/competition system to record your relevant information and track payment of entry fee or any sponsorship money.
Where applicable, and as instructed by you as part of the donation process, we use your personal information to report your donation to HM Revenue and Customs (HMRC) for Gift Aid collection.
WHO WILL USE YOUR PERSONAL INFORMATION?
The club organiser will hold and maintain the date for the smooth running of the event. Information will only be shared with those that “need to know” the information at the appropriate time. Specify if you can. Eg if it was a clubs “bike ride” event it will be shared with the emergency services in the event of an accident
ACCESS TO YOUR INFORMATION AND CORRECTION
We want to ensure that your personal information is accurate and up to date. Please contact us to correct information you think is inaccurate.
HOW LONG WILL MY INFORMATION BE HELD?
The information will only be retained safely for until 1 month after an event. This is to ensure we can review the event and ensure any follow up contact required is concluded.
Any Gift Aid information will be held in accordance with the HM Revenue and Customs (HMRC) guidelines for financial records and auditing purposes and for as long as required to administer your donations and any subsequent queries.
We will not sell, trade or share your personal information with non-Rotary third parties nor will we send you mailings on behalf of other unrelated organisations.

Royden Revolve Rotary Club, uses Typeform to process data to manage contact information and for general returns where a reply is required. This is because it collates the data into a spreadsheet format to make it easier to collate a data return.
Typeform comply with the GDPR regulations as they are based in Barcelona, Spain and this is a European regulation. In addition to Typeform, the replies are sent via email to providers including, Gmail, Microsoft and Yahoo. However other providers may also be used depending on which member the data is forwarded to.
